Data collected automatically when you visit my websites: IP address, browser and device type, pages visited, and cookie data, depending on the choices you make in the cookie banner. See the Cookie Policy for details.
4. Why I use your data and on what legal basis
To deliver what you bought: coaching, membership, courses, programming, check ins and calls. Legal basis: contract.
To take payments, send invoices and keep business records. Legal basis: contract and legal obligation.
To answer your questions and support you. Legal basis: contract or legitimate interest.

To protect my business in a dispute or legal claim. Legal basis: legitimate interest.
To keep you, me or someone else safe in a serious situation. Legal basis: vital interests or legitimate interest.
5. How I use AI tools
I work with AI assistants to help me run my business. They help me with admin and with preparing my coaching support, for example organising my schedule and client records, drafting emails and messages, summarising check ins and preparing programme notes. In the membership, my Midlife Muscle Method programming system also uses AI to build your training programme from the answers you give in your form.
These tools may process your personal data, including coaching and health information you have shared with me, but only to support my work with you.
I use them under data processing terms. They process your data on my behalf only, and your data is not used to train their AI models.
For one to one clients, I review everything before it reaches you. In the membership, your programme is built by my Midlife Muscle Method programming system: AI works from my own exercise library, programme templates and coaching rules to match a programme to your answers. Programmes are not reviewed by me individually. They are training suggestions, not decisions about you. If you have an injury or health condition, check with your doctor or physiotherapist before you start. AI is never used to make decisions with legal or similar effects on you.
I never put payment card details, passwords or identity documents into AI tools.
If I start using AI in a new way that involves your personal data, I will update this policy first.
6. Health information
Health information is a special category of data under the GDPR, so I treat it with extra care. I only use it to coach you safely and well, I only collect what is useful for your coaching, and I keep it to myself. I only share it with your permission, or when it's needed to keep you, me or someone else safe. I process it on the basis of your explicit consent, which you give when you complete my intake form. You can withdraw that consent at any time by emailing me, but I may then no longer be able to coach you safely.
My coaching is not medical, psychological or psychiatric advice and does not replace a doctor or other qualified health professional.
7. Who I share your data with
I never sell your data. I share it only with trusted providers that help me deliver my services, and only as far as they need it. They process your data on my behalf under data processing agreements:
Payments: Stripe
Website, email, newsletter, forms, bookings and membership platform: FEA Create and SOMBA.io (both built on GoHighLevel)
Coaching app: ABC Trainerize
My Midlife Memo, if you follow it on Substack: Substack
Scheduling and video calls: Calendly and Zoom
Call recording and notes: Fathom
Email, calendar, documents and file storage: Google Workspace
AI assistant: Claude by Anthropic
I may also share data with my accountant and legal advisers when needed, and with authorities when the law requires it. With your permission, I may share information with another coach or a gym that will be training you. When I ask an experienced coach or mentor for advice, I leave out your name and anything that could identify you. If it's needed to keep you, me or someone else safe, I share only what is necessary. If I add or change a provider, I update this list.
8. Data outside the European Union
Some of these providers are based in, or use servers in, the United States or other countries outside the European Economic Area. When your data leaves the EEA, it is protected by the safeguards the GDPR requires, such as the EU and US Data Privacy Framework or the European Commission's Standard Contractual Clauses.
9. How long I keep your data
Coaching records and health information: while you are a client, and afterwards only as long as I need them, for example to support you if you come back. I review old records once a year and delete or anonymise what I no longer need. You can ask me to delete them sooner.
If coaching ends early, or there is a complaint or disagreement: I keep the records I may need to show what we agreed and what happened, such as our messages, my coaching notes, emails and our agreement, for up to ten years after our work together ends. This matches the Belgian limitation period for contractual claims. I use these records for nothing else, and I delete them at the end of that period. Everything else is deleted or anonymised as described above.
Invoices and payment records: as long as Belgian tax and accounting law requires, currently up to ten years.
Newsletter: until you unsubscribe.
Call recordings: one to one recordings are kept only as long as they are useful for your coaching, and are part of my yearly review. Group call recordings stay in the member support and resource spaces for as long as those spaces exist. If you appear in a group recording and would like it removed, just ask me.
Free resources, emails and enquiries: you never have to buy anything from me. I keep your details until you unsubscribe or ask me to delete them.
10. How I protect your data
I use secure, password protected accounts with two factor verification whenever possible, I limit access to client data to myself, and I only use providers with recognised security standards. No system is perfectly secure, so please do not send sensitive information through public channels such as social media comments.
11. Your rights
Under the GDPR you have the right to:
see the data I hold about you
correct it
have it deleted, unless I have to keep it by law or need it to protect my business in a dispute or legal claim (see section 9)
restrict or object to how I use it, including for marketing
receive your data in a format you can take elsewhere
withdraw your consent at any time
Email [email protected] with "Data request" in the subject line. I may ask you to confirm your identity, and I reply within one month.
If you are not happy with how I handle your data, please tell me first so I can put it right. You also have the right to complain to the Belgian Data Protection Authority (Gegevensbeschermingsautoriteit), Drukpersstraat 35, 1000 Brussels, www.gegevensbeschermingsautoriteit.be.
12. Cookies
My websites use cookies. Optional cookies for statistics and marketing are only placed with your consent, which you can change at any time. Full details are in the Cookie Policy.
13. Children
My services are for adults. I do not knowingly collect data from anyone under 18.
14. Changes to this policy
When I change this policy, I publish the new version on mymidlifemusclemethod.com and update the date at the top. janeomorogbe.com links to that same page, so both websites always show the same version. If a change affects how I use your data in an important way, I will let current clients know by email.
